Resource Coordinator

As our Resource Coordinator, you’ll be at the heart of our carbon capture, utilization, and storage (CCUS) initiatives—supporting the teams turning bold ideas into real-world impact. This role combines data management, operational coordination, and cross-functional collaboration, making it ideal for someone who thrives in a fast-paced, purpose-driven environment.
You’ll be the go-to expert for the SmartSheet and resource tracking systems, ensuring smooth operations behind the scenes while influencing broader project success. From onboarding new talent to fine-tuning data processes, your work will directly support the success of high-impact projects in the clean energy transition.
Pay: $35 – $45/hr. depending on experience
Job Type: Long-term contract
Location: Primarily remote; applicants residing in Denver or Dallas will be prioritized
What You’ll Do:
Own the Timesheet System

Administer the SmartSheet timesheet system.

Manage weekly timesheet submissions and approvals for users and supervisors.

Proactively follow up on overdue entries and ensure data is clean, accurate, and audit-ready.

Compile weekly resource reports and deliver monthly/quarterly accounting data for cost allocations.

Maintain and update project, personnel, and supervisor records to keep systems running like clockwork.

Continuously enhance and troubleshoot the timesheet platform.

Educate new users and supervisors with engaging training and intuitive documentation.
Champion Onboarding & Orientation

Partner with HR, IT, and Facilities to deliver seamless onboarding experiences.

Develop and deliver onboarding documentation and orientations

Coordinate staff transitions with discretion and professionalism.

Help new team members hit the ground running with clear guides and welcoming orientations.
Be a Reporting Rockstar

Provide resource reporting to stakeholders and teams on a regular basis.

Deliver clear, actionable reports for project managers, functional leads, and project controls teams.

Develop and maintain administrative documentation that supports transparency and efficiency.
Support Project Controls

Assist project controls leaders with cost and schedule data processing.

Facilitate integration between various tools and data systems, building bridges across the digital ecosystem.

Advanced proficiency in SmartSheet and Microsoft Excel—you speak data fluently.

Education and Experience Qualifications:

Post-secondary training or education in business systems, data science, engineering, accounting, or a related field.

Demonstrated mastery of SmartSheet and Excel for tracking, reporting, and analysis. Strong capabilities in Word and PowerPoint.

Experience with timesheet systems, resource coordination, or project controls is a strong asset.

SmartSheet Core Product and System Admin certifications are a plus (or equivalent proven experience).
